*Deborah Hensler reported* that Minerva membership applications were due on
9/14/07. The membership committee will meet next week. 7 libraries have
applied; 4 is maximum of libraries that will be admitted in this fiscal
year.
Deb H. and Jon Forest will be in California at Innovative Oct. 15-19 for
training in web OPAC, statistics, and other topics.
Resulting from the Maine InfoNet summit in August, a statewide listserv for
all Maine catalogers is being developed. This is in addition to MinervaCats
and the Innovative listservs. Look for an announcement on MELibs when
MAINECATALOGERS-L is ready.
A Maine Library Association mini-conference will be held on Friday, Nov. 16,
in the Rockland/Camden area in conjunction with the "Juice Conference". There
may be sessions for catalogers. For more information email Deb Hensler or

Many Millennium users have been reporting slowness or being unable to login
at various times. Deb and Jon request that users close Mil. sessions when
not in use. Busiest times seem to be Tues. and Wed., 10 am – 2 pm.
*Material types:* Ellen C. reported on changes to material types. The
labels on 2 types have been revised. Type Y, formerly "internet", is now
"web resource". This refers to webpages, online serials, etc. Type Z,
formerly "software/data", is now "software", which should be clearer. Also,
a reminder that a new type is 9, for slides. Ellen recently posted a
request for input on MinervaCats re. a new material type for Graphic Novels.
There were few responses to the posting; most were negative. Therefore, no
changes will be made.
*Series statements: *Ellen gave a brief review of the proper use of series
statements. If a book or other item is part of a series, the name of that
series may be an important access point. To correctly trace a series the
series statement as added entry must be in the form of an established
heading (verify authority records).
Use* 440 *when the authorized statement is exactly how it appears on the
resource. This field is indexed. Indicator 1 should always be blank.
Indicator
2 is for non-filing characters. The field may include n, p, v, and x (for
ISSN) if needed. To see good examples, look at b13485039 and b13924953.**
* *
Use* 490* when the authorized statement is different from what is given on
the resource—even when the only difference is the inclusion of the author's
name. The field should give the series statement exactly as it appears on
the resource. If the series is to be traced, first indicator should be 1.
If the series does not need to be traced, first indicator should be 0. The
second indicator will always be blank.
The 490 field is never an added entry. If 490* *is present with first
indicator 1 (to be indexed), the record must also have an *8xx *field that
gives the authorized series statement. An *800* gives a personal name and a
series title. Example: b15230399* *(Tintin). *810* is used for corporate
name series added entry, etc. The *8xx *field is the added entry.

Presence of 490/800 fields will create duplicate results in title/author
search.

*Annuals/Serials: *Ellen is working on a project with the Cataloging
Standards Committee that will consolidate monograph bib records of annual
serial publications into proper serial records. To see examples of why this
needs to be done, search the titles "Statesman's Yearbook", and "What color
is your parachute?" For an example of a consolidated record, look at
"Peterson's four year colleges". When cataloging items of this type, please
remember to place the year or other identifying information in a volume
field in the item record.
*Bonnie Collins *reported that she is teaching 3 classes this fall that will
finish in December. She has held one serial workshop so far with another
planned for October. When the classes end she plans to spend the next
several months preparing and revising class materials. The next round of
classes will begin in April 2008, and will include a cataloging class at
MSL, and possibly workshops on graphic novels, subject headings, serials and
more.
*User meeting dates *for 2008 will be finalized soon. Attendees at the ATM
sites feel that it is worthwhile to continue meeting via BangorPL and Noble
HS in spite of technical limitations. Watch for an announcement on
MinervaCats. Please note that the next meeting will be held on Friday, Nov.
30, rather than on Nov. 16 as previously scheduled. Snow date is Dec. 7.
*Cataloging Standards Committee:* Chair Katherine Morgan presented written
policies that have been approved by the Exec Committee on the topics of
Large Print, Kits, Multi-Volume Sets, Series, Board Books, and DVD/VHS
series. Printed copies of the policies were distributed at the meeting;
they will be available for viewing and printing on the Minerva cataloging
online pages in the future. To receive copies of these policies as *email*
*attachments* please contact Ellen, econway54 at gmail.com
*Paperback editions: *Helen Tomer asked for a review of the guidelines for
attaching a paperback ed. of a book to the hardcover record. It is
appropriate in Minerva to do this if the publisher is the same or if the
publisher is a different imprint of the same parent company, if pagination
is within 3-4 pages of the original, the size is within 3-4 cm. of the
original, and the paperback is not a revision.
*Children's headings: *Ulla M. asked for an explanation of why imported LC
records continue to use childrens subject headings although we have been
asked not to use them. Ellen explained that she has learned LC will
continue to use these for fiction, but not fiction. For this and other
reasons she has decided that the effort to convert childrens headings in
Minerva will be discontinued at least until Maine InfoNet has a new CEO in
place. For now, with *sincere apologies* for all the extra work catalogers
have been asked to do, please feel free to use the headings as you find
them.
*List 200:* Ulla also requested that catalogers look for their items on
list 200. These items have incorrect material types. Ellen will sort this
list by location and send out an email with location and line number
information.
*Film titles:* *Katherine M. asked why foreign language film titles are not
given first in 245 fields. The chief source of information for films is
what appears on the screen itself. If the foreign title appears on screen
by itself it should be given in that form. If the title appears in English
as well (subtitled) you may use it as a parallel title
(**Title|h[videorecording]
=|bparallel title), **and the English title may also be given in a note.*
* *
*Call number: **Holly W. asked why in a specific record the call number in
the 050 field displayed over the call # in the item record. The reason for
this was the code on the far left of the marc record was set as "c";
correcting this to "y" fixed the problem. Please do not select these codes
yourself; let the system do it for you automatically.*

*Labels: **Deb H. demonstrated printing spine labels in Millennium. Currently
this function will print on the same spine and pocket label continuous feed
forms that GuiCat labels used. If you wish to use a different style or
sheet, the next upgrade to Millennium may offer (we hope) the ability to
customize. Jennifer Lewis recommended looking at a software system called
"Label Works".*
* *
*Excel: **The next circ users meeting will be held on Oct. 3 at MSL. After
the meeting, from **12-2:30 pm** Deb will offer a training session on Excel
that is open to all. She is also scheduling future workshops to be held at
**Lewiston PL**, date t.b.a., offering training on list making and
statistics.*

*Red 9xx fields: **It was asked if the 902 and 907 fields in red may be
removed from bib records. Yes they may; they are left over from authority
processing. However, please do not remove any 949 field that states "IN
AUTHORITY PROCESSING".*
