*Cataloging Standards Committee:*  Chair Katherine Morgan reported the
committee is discussing the current requirements for Cataloging Users
Meeting attendance.  A recommendation will be made and submitted to the Exec
Committee.  The CSC is evaluating the mentoring program that began earlier
this year.  Some of the libraries that are involved at this time are Lithgow
and Bailey, So. Portland Public & SP Schools, and CMCC and Rice.  Deb
Hensler and Ellen Conway are working on updating the cataloging webpages on
the Maine InfoNet site.



*Report from Deb Hensler: *  Deb advised that of the 3 new Minerva
libraries, Scarborough Public and Walker hope to go live for online
requesting this week.  Unity College hopes to be live after March 24.  The
library in Unity is both the college library and the town of Unity's public
library.

Deb reminded us to use the appropriate listserv for postings.  Solar members
can subscribe to MinervaCats for valuable cataloging information; just
ignore what is not relevant to Solar.  Also, when adding an 856 field to a
record, remember that site-specific links belong in the item record.  If an
856 is located in the bib record it gives the impression that it is
accessible to all users.

            Deb also reported that people have done a good job of using the
Evanced calendar (http://evanced.info/maine/evanced/eventcalendar.asp) for
meeting and workshop registration.  Remember that if you need to cancel a
registration, do so by using the calendar instead of emailing Deb or Bonnie.
This was demonstrated.  However in the event that registration for an event
has closed and you need to make a change please notify Bonnie.



*Report from Ellen Conway:*  Catalogers are doing a good job in general with
new records.  I have been examining new records for problems.  The usual
errors keep being repeated:  missing material types, incorrect GMDs, 09x
fields that have not been deleted, incomplete bibs, etc.   I also am
concerned about the vast number of incomplete records in the Minerva
catalog.  List 233 holds approx. 46000 bib records with material types a or
l, no ISBN and no 300 field.  I will start contacting libraries with a
reminder to clean up these records as much as possible.

            Minerva has a new material type for graphic novels, "h".  Please
use this from now on.  Older records have been globally updated but it is
likely that some were missed.  If you find these please let me know.

            Please be courteous and respond to emails from other catalogers
about discrepancies in your records.

            If you ever need to measure a book but can't find a metric
ruler, check out this website for an inches to cm conversion calculator:
http://www.manuelsweb.com/in_cm.htm  (thanks to John Clark)

                If you should encounter a record to which Scaborough PL is
attached that has a 961 field, please *do not* delete this field.  It
contains important information that must be transferred to their item
record.  If you are unable to do this, contact Susan Winch or Denise Simms
at SCA or Ellen Conway.



*Report from Bonnie Collins:*  Bonnie distributed a handout outlining the
cataloging training classes and workshops that will be offered in
Spring/Summer 2008.  If you did not receive one check on the Evanced
calendar or contact Bonnie.  She has taught the workshop on graphic novels 3
times so far this year, with a total attendance of 21.  With 63+ libraries
in Minerva, this is not a great rate of participation.  All catalogers are
encouraged to take these workshops; they are open to Solar as well.



*Discussion:*

?        Maine authors:  the correct way to note a Maine author is described
on the webpage
http://www.maine.gov/infonet/minerva/cataloging/howto/standards.htm  The
subject heading "Maine Author" may not be used in the catalog.  The heading
"Authors, American--Maine" may only be used for books about a Maine author.
It may not be used for books that are written by Maine authors.   Instead, a
note field (545 0_ ) may be used for information about an author.  The note
should be formulated to contain the phrase "Maine author" for keyword
searching, as well as the name of the author and the author's connection to
Maine, for clarity. For example: *545 0_ **Maine** author. Harriet Beecher
Stowe lived in Brunswick, **Maine** from 1850-1852.  *You may also add a
link to the Maine Writers Index from the Waterboro Public Library at
http://www.waterborolibrary.org/maineaut/ as described on the cataloging
webpage previously mentioned.**

   - 586 field:  This is used in the bib record to note awards given to a
   particular work.  One award per field; the field is repeatable.
   - On order records:  whenever possible please put the title in brief,
   temporary on order bib records in all capitals.  This helps Ellen
   identify incomplete bibs that should not be sent to Marcive for processing.
   - Numerous bib records were displayed and various errors were pointed
   out.  These included missing material types, missing or incorrect GMDs,
   09x field that were not removed, lack of pagination and other physical
   information, and incorrect information in the 001 and 003 fields.  These
   issues have been discussed at many meetings yet the errors still
occur.  Procedures
   and standards for these details may be found online at
   http://maine.gov/infonet/archives/minerva/cataloging/compStandards.htm
   - REMEMBER:  The ONLY number that is allowed in the 001 field in the
   Minerva database is the OCLC number.  If the 003 field below it *does not
   * say OCoLC this should be a clue to you that the 001 needs to be
   removed. If you import a new bib record but are not sure if the 001 field
   actually contains a legitimate OCLC number, you can check this by going to
   www.worldcat.org and searching on the number.  If the search yields the
   correct item the number is correct.  (thanks to Carol Lord for that tip)
   **
   - Do not continue to add bib records for new editions of annual
   publications such as almanacs, travel guides, college guides, etc., without
   checking first to see if there is a good serial record that can be used.
   Ellen is still working on converting multiple monograph records into
   serials; if you find ones that need to be updated please let her know.**
   - 2 new options for item "i messages" have been created.  Choose "r" for
   "repair needed" or "a" for "to cataloging".  The latter can be used when
   lending an item that must be routed to tech services after return.
Inserting
   an "m" message in the item record is another way to add info that is visible
   to circ staff.**
   - Try selecting Solar when searching remote databases.  The Solar catalog
   owns thousands of good "resource records" that were added before Karl Beiser
   retired.**
   - What is the best procedure for deleting item records?  Because deleting
   can be very time consuming this depends on the number of records you want to
   delete.  Item records can be deleted one by one.  If you have a lot of
   them, try changing the item status to "withdrawn", then create a list of
   records with this status.  The list can then be used for a global
   deletion process.**
   - ISBN and edition statements:  Bonnie reminded us that if the only
   difference between an existing bib record and the item in hand is a
   differing ISBN, add your ISBN to the record and attach your item to it.  If
   the bib notes a 1st edition statement but your item is a later printing
   this is not important.  However if your book includes a reader's
   discussion guide that was not part of the original publication a new bib
   record is needed.**
   - Cataloging date:  If an existing bib record has a cataloging date in
   the fixed field, do not change it.  If it has no date, do not add
one.  Imported
   and overlaid records will have the new date added automatically.  Do not
   change the date in the 008 field when importing a record.  When creating
   an original cataloging record, you must enter the date manually.**

I have a question for people who are using Millennium Serials for cataloging
magazines.  Is there a way to set things up so that it alerts you when you
are missing issues of a magazine?  We just figured out that we are missing
the April and May issues of two different magazines only because some one

The following ISBN brings up two records for Edward William Bok's "A Man
from Maine": 0974290416

One of these records(b11394572) is owned by cam, fml, hus, lpl, lud, mhs,
mca, pit, rkd, rpl, sjc, uni, and wpl.  This record has a pub date of 1923,
and the following pagination in the physical description: xv, 278 p.

The second record (b24167356), is owned only by mhs.  It has the following
info:

Bok, Edward William,1863-1930.
A man from Maine /by Edward W. Bok ; with a new introduction by Jonathan A.
Shaw.
Bradenton, Florida :Osprey Classics,2003.
xv, 278 p. : ill. ; 21 cm.
Originally published: New York : C. Scribner's Sons, 1923.

The second record is an identical match for the paperback book I have in
hand (a re-publication of the original, though not an exact reprint), BUT
the book I have has x introductory pages (a new forward, plus prefatory info
from the original) and just 148 pages of text.  It's 18cm--clearly different
from the original.

Could cam, fml, hus, lpl, lud, mhs, mca, pit, rkd, rpl, sjc, uni, and wpl
please check their physical copies to verify pagination?

I will be holding a Create Lists workshop and a Millennium Statistics
workshop on Thursday, June 19 at the Wells Public Library. 

Each workshop will be 2 hours: the Create Lists workshop is scheduled
from 10am-12pm followed by the Statistics workshop from 1pm-3pm. Please
register for one or both sessions at

You will not need to bring a laptop. The workshops work better as a
demo, as the system slows down a bit when everyone in the class is
trying to run a list or statistical report at the same time.  

The Create Lists session is appropriate for all users of Millennium who
need use that mode or want to learn how to use it for things like new
acquisitions lists or creating Featured Lists. The statistics session is
appropriate for anyone wishing to learn more about how to create patron
or collection counts or what the different options in Web Management
Reports really mean.

Seating is limited, so sign up soon if you're interested. If you

This question involves a cataloging entry for b21350334 at:
apl, bai, cam, cml, fml, gar, gpl, jml, lpl, lit, lud, mca, opl, pfl, pit, ric, rkd, rpl, spm, tpl,  and ypl.

I'm cataloging the 40th anniversary 2 disc edition of the Mary Poppins DVD and am wondering about the note that says "Special Effects disc #2 is missing. Circulate as is."  Since there are many libraries owning this set, I'm thinking that most libraries do have both discs.  Do I just add to this record even though I have both discs?  Is there a way that the library(ies)  who is(are) missing the disc can be noted?

*Establishing Standards for Acceptable Cataloging*

The Minerva Cataloging Standards Committee believes that the group must
establish what is meant by the term "acceptable cataloging".  The official
documents that outline the process for applying for membership in Minerva do
not define in any specific terms what is required in the Bibliographic
Record.

The document titled "Thinking of Joining Minerva?  Consider the Following"
may currently be found in the Maine InfoNet webpages. Under the heading
"General Qualifications" it is stated that all "perspective" [sic] members
must show that they have "regular, permanent staff with a comfort level and
basic understanding of cataloging procedures and the need for standards
critical to a shared environment with different library types:  public,
academic, school and special."

Furthermore, it is stated under the heading "2) Cataloging Requirements",
"All members must?have a least one staff member who is capable of
identifying acceptable catalog records before loading records into the
shared catalog [and] adhere to Minerva standards for old and new records and
agree that all incomplete records containing only author and title will be
suppressed in the OPAC."

The Committee believes that the non-specific nature of the above statements,
along with other factors, has allowed an excessive number of poor records to
be loaded into the Minerva catalog.  To try to prevent any further
degradation of the catalog it is imperative that strict guidelines to
"acceptable cataloging" are established and enforced.

To that end the Minerva Cataloging Standards Committee suggests that the
following proposal be considered and approved by the Minerva Executive
Committee.



*Acceptable Cataloging for Minerva Libraries *

Bibliographic records in the Minerva Catalog will conform to AACR2 rules
except in special circumstances allowed by the Cataloging Standards
Committee.

Records must be in correct MARC format and will include all appropriate MARC
tags, indicators, and subfields.

The Fixed Fields section of the Bibliographic Record will be complete with
all required information, including correct Material Type, language,
non-filing characters, Location, language, country, input library, and
initials.  New records will have the cataloging date entered.

The MARC Leader will be complete with correct codes for Record Type, Status,
and Cat Form "a" (AACR2) in particular.

The record will include all the following fields:

   - 001 field, used for OCLC numbers only.  (This is already an approved
   Minerva standard.)  001 fields containing non-OCLC numbers must be
   deleted.

   - 010 field containing the LC control number if assigned.



   - 020 fields with ISBN if one has been assigned and it appears inside or
   on the cover of the item, or ISSN in the 022.



   - Nonprint, audiovisual material records will have a complete and correct
   007 field for physical description.



   - 008 field with complete information including dates and country code.



   - 1XX field for the main entry if applicable, with correct indicators and
   the correct LC authority record form of the entry.



   - Title information will be entered in 245 field according to AACR2.
   Correct indicators and subfields will be present, and correct punctuation
   will be observed.  GMD information will be entered in this field according
   to the list approved by the Minerva Cataloging Standards Committee.



   - 250 edition statement if applicable.



   - 260 field containing place of publication, publisher, and date, using
   correct subfields.



   - 300 physical description field with pagination, illustration details,
   and size in centimeters.  Information regarding additional materials will be
   included as needed.



   - 440/490 fields for series information if applicable.



   - 500 or 538 note with system details for audiovisual materials, as
   described in previously approved MCSC standard policy. **



   - 504 bibliography note (optional) will include pagination when possible.



   - 520 field for summary note (optional field) will be not longer than 50
   words in length.  Content should be objective and non-judgemental in nature
   and should not include excessive plot detail.



   - 6XX subject access field will be entered with correct indicators and
   subdivisions.  Library of Congress subject headings will be used except
   where MeSH headings and GSAFD genre headings are required.



   - 7XX added entry fields are included when applicable; the correct
   authority form of names will be used.



   - 8XX series added entry fields are included when applicable.  URL links
   to non- site specific resources are given in 856 notes.



In addition to the specific requirements listed above, bibliographic records
will observe all previously approved Minerva Cataloging Standards and
practices, including those that detail the proper handling of special
formats and material types.

When a new library is admitted to Minerva, its bibliographical records must
be examined and approved by the Maine InfoNet cataloging specialist and/or
representatives of the Cataloging Standards Committee before loading.

Any policies that are approved in the future must also be observed.

The latest batch of new bib records will be exported to MARCIVE this
evening for overnight authority processing.  The bib records in this
file are b26446510 through b26467537.

Please do not edit these bib records until after 12:00 am, Thursday,
May 22.  (You may still attach items to these bibs.)

In order to make these bibs easier for catalogers to identify I have
inserted a 949 field in each one that states "IN AUTHORITY PROCESSING".
This field will be deleted after the bibs are reloaded.

Catalogers from the following libraries ( bbh  ,edl  ,wpl) might want  
to take a look at their film titled Indiscreet and the bib record for  
this film.  The bib record for this film mixes two films of the same  
title: one starring Cary Grant and Ingrid Bergman from 1958 and one  
starring Gloria Swanson and Ben Lyon from 1931. Camden P.L. requested  
the Cary Grant version and ended up with 1931 film.

    Norway's ISBN matches book and bib, but in the 300 field I ave no  
"vii, [3] p. of plates." Norway's book has 300 p and maps.

This is just a reminder that a series of cataloging workshops is being offered in July, August and September. I am particularly concerned about the session in July. As of today there are not enough signed up to offer those workshops. The schedule is below. You need to register on the events calendar as indicated. I cannot do the registration for you.

The following workshops will be offered on Tuesdays in the Maine State Library Studio from 9:30 - 12:30 during the summer. You will need to register separately for each workshop on the Events Calendar at http://evanced.info/maine/evanced/eventcalendar.asp.

Lewiston's copy has no plates, only maps.  Both ISBNs are in the book, but I believe the ISBN beginning with the #9 is in error.  10-digit ISBNs assigned to books published in English-speaking countries begin with either a 0 or a 1.  Since the ISBN with first digit 9 is in the book, I created a separate 020 field with a subfield z for that ISBN in case someone was using that invalid ISBN to look for this item.

Lists/Statistics workshops, so another one has been schduled in southern
Maine. It will be held on Wednesday, July 9, at the York Public Library.

A couple of days ago, I cataloged "Girls of Riyadh" by Rajaa Alsanea.
Others have this title, so it was easy.  There is a cross reference in
Minerva from "Alsanea, Rajaa" to her Arabic(?) name: "S?ani?, Raj?a' ?Abd
All?ah."  The cross ref shows up when I search all of Minerva, but when the
search is scoped to YPL, no cross ref appears. 

Is there a clever way to get that cross ref to display when a search for
Alsanea, Rajaa is scoped to us, or do I have to ask the experts for help
each time this happens??
