As most of you are these heading used to be assigned to records if the book was by a Maine author which is no longer considered to be a Minerva policy. I am not only correcting the records where appropriate but also checking for duplicate entries under the authors names and consolidating the records. To date I have completed: Robert P. Tristram Coffin; Annie Garrett (pen name of Kelli Pryor) and Edward J. Rielly (this is correct spelling). I would suggest that those who have books by these authors may want to check them against Minerva. We all know that items records are not always attached to the correct bib. Please keep in mind that the record with the first printing date is the one to use; on these older records a different copyright date does not really merit a new record if everything else matches. Before receiving many responses I discovered that another record with Caparo as the illustrator had been added. Even though I still didn't know the big picture, I moved our item to that bib record. I later forwarded a message to the list with an explanation I received from the author stating that although Harman was the originally intended illustrator (and apparently included in CIP info) the book was ultimately published with Caparo's illustrations. I suggested libraries with items remaining on the Harmon record might want to check their items and move over to the Caparo record hoping that we would end up with just one record. Thank you! The practice of breaking up DVDs continues to create problems. One of our patrons was very disappointed this morning when she came to pick up the John Adams DVD that she had reserved, bib# 26496926. Only disc 3 of Waterville's copy was here for her. It is possible that one of our staff members placed the hold in MilCirc without paying attention to the volume field, which in MilCirc looks like part of the call#. You might not even see the "volume field" if this column isn't widened. It is also possible that the bib level holds were placed before Camden and Waterville added their split sets. It is very important to look for bib level holds whenever you add a split set to en existing bib with complete sets and change all bib level holds to item level holds. There are now 6 bib level holds (ski, opl, cml, rkd, fml and sca) where their patrons run the risk of receiving a random disc from a split DVD. Is the change in date and edition title enough to warrant a new record? They feel that travel time and expenses create a hardship. The committee believes that attending three meetings per year is necessary or the alternative, outline below, to ensure that catalogers are well informed of the need to keep the OPAC clean and in compliance with rules established by Anglo-American Cataloging Rules and standards set by the Minerva cataloging standards committee. In addition, with the FY 09 reduction of Maine InfoNet cataloging consultants? hours, and cataloging classes cancelled the committee feels that attending meetings is crucial to keeping the OPAC clean and keeping catalogers informed of what is happening in Minerva cataloging. The committee understands the difficulties of travel and taking time away from work, but with two meetings each at Maine State Library, Falmouth, and Bangor, attending three meetings annually is feasible. Same problem with 8 Sandpiper Way by Debbie Macomber. The new LeCarre, A Most Wanted Man, has a release date of Oct. 7 and so far none have been checked out, which is good. Now, this is not my responsibility to police, but I'm sending this out because is has been discussed at a cataloger's meeting in the past. It's going to both Minerva lists, though, because often the cataloger doesn't see the packing slip and wouldn't know the title should be held for a particular date. The problem circulating titles before their release date, I've been told, is that it could affect the SCOOP discount. I'm copying the three district consultants on this as a head's up, and won't mind being corrected if I'm wrong. So, remember to carefully check your packing slips. I know that Baker & Taylor, at least, clearly states release dates and other distributors probably do also.
