[MLTI-MS] Asset Management - Response Requested

Dear MLTI Schools,
We are aware that many schools have reported enrollment numbers that
exceed the number of available MLTI devices at their schools. We have
been working to resolve these issues. Devices are bring shipped now to
schools that reported needs (*see list at the end of this message).
Hopefully we have not missed anyone.
To better understand the needs, we have extracted from MEDMS the
October enrollment figures as reported by your school and compared
them to the Asset Manager. As we expected, there are many schools on
the lists which have a "need" larger than their asset pool. However,
we also have a significant number of schools, which based on this
simple numerical comparison, show a huge number of unallocated
devices. There are a few schools for which no MEDMS data was
available, so the number of unallocated devices is grossly inflated.
If your school's data is incomplete please report the missing data
elements to the MLTI Project team.

Each of these files show the same information. AssetCountbyDelta.pdf
shows MLTI schools sorted by the difference of Assets deployed and
reported enrollment (plus staff, spare(s), and locally purchased
devices). Those schools with positive values in this column, according
to this information, have unallocated MLTI devices.
AssetCountbySchool.pdf lists this information alphabetically by school
name.
• If your school has a need for additional devices due to increased
enrollment, please check with the nearest school to you that has
unallocated devices to arrange a transfer.
• If your school has a significant number of unallocated devices, the
Department will likely communicate with your school directly to have
you return those devices to the Department.
• If these numbers are significantly wrong, please contact the MLTI
Project team with accurate information (please email Steve Vose, steve.vose at maine.gov
).
Reminders:
• When students transfer from one MLTI school to another, the
Department expects that the device will follow the student if needed.
It is the responsibility of the receiving school to contact the
sending school to arrange the transfer since the sending school does
not always know where students are going. Some schools manage this
process as part of the student's school records transfer.
• If the distance between the two schools is significant, the
Department will aid with shipping. Please contact the MLTI Project
office to arrange the shipment. Whenever possible, transfer devices
between schools without the Department's aid. It is faster and simpler
in most cases.
• Do not "shelve" damaged laptops and issue an unallocated device. For
accidentally damaged or stolen devices, request a Buffer Pool
replacement. For non-accidentally damaged or lost computers, the SAU
is responsible for returning the device to good working order by
repairing the device using a DOE approved Apple Authorized Service
Provider (http://www.maine.gov/mlti/aasp). For non-accidentally lost
devices, please contact the MLTI Project team to arrange replacement
of the device. The cost of "shelving" a device in many instance
exceeds the cost of repairing the unit. For every unit "shelved" by a
school, the Department pays $289 per year. Therefore, a device
"shelved" this year will cost the Department $578 per year ($1734 by
the end of the contract) because it is maintaining 2 MLTI devices to
serve one student.
*The following schools should receive MLTI devices shipped from the
MLTI Local Depot within the next 3-5 business days.
