The Minerva Circulation Standards Committee and the Minerva Cataloging Standards Committee have jointly submitted the two below recommendations and policies to the Minerva Executive Board. Before the Executive Board votes on these, they would like your feedback.

Re:        Policy for DVD bonus discs 

Please accept the following recommended policy developed jointly by the Circulation Standards Committee and the Cataloging Standards Committee. 

The Circulation Standards Committee is opposed to the practice of splitting up the features/bonus disc from the movie disc(s) and circulating them independently. There have been numerous complaints regarding the negative impact this practice has on patron service.  This policy refers only to non-episodic titles from a single package that contains the film itself and material not present in the theatrical release (interviews, deleted scenes, etc.) A DVD set of this description will be circulated as a single item. 

The Cataloging Standards Committee endorses this recommendation and suggests the following policy be enacted to guide and instruct catalogers in the processing of this material. 

Minerva Libraries will not create separate item records for bonus discs on bibliographic records for non-episodic DVD titles that contain bonus discs. (For examples, see .b27287257, and .b20133856) 

On a related note, the volume field of an item record must be used in the following circumstances: 

Item is part of a series or set and is cataloged all on one bibliographic record. 
(see .b27185151, .b24238892, and .b2495150x) 
Item is part of a multi part unit, as in a DVD series. 
(see .b26951721, and .b27123169) 
Item is missing a component or has some other characteristic that must be noted, such as a missing map. 
(see .b22002443, and .b2495150x) 

Note: For episodic DVD series, always use a volume field. If the set is not broken up, use the phrase “Complete Set” in the volume field. 

Note: When the bibliographic record uses a volume number in either the 245 title field or in a 490/8xx field, DO NOT use an item volume field. (see .b26452625, .b26795887, and .b24096994)

Re:        Recommendation and suggested policy for item price field 
        

The Circulation Standards Committee recommends the entering of the publisher's full suggested retail price (rounded off or exact) of an item in that item's price field. Use of the publisher's full suggested retail price ensures conformity of billing across the Minerva libraries and streamlines the billing process. 

The Cataloging Standards Committee endorses this recommendation and suggests the following policy be enacted to guide and instruct catalogers in the processing of this material. 

All Minerva Libraries must enter the publisher's full suggested retail price (rounded up or exact) in an item record's price field. This price can be obtained from the item itself or from other sources such as the publisher's own price list/online catalog and Amazon.com. The Cataloging Standards Committee recognizes that retail prices on some titles can vary depending on packaging, performance rights, etc. This policy would only affect item records created after the approved date of this policy. Item records created before this date would be exempt from this policy.
